Equipping a short-term rental: the complete guide

Equipping a short-term rental is not furnishing a home, and it is not equipping a hotel either.
It is not furnishing a home because the bed will take fifty different people a year instead of two. It is not equipping a hotel because there is no reception, no housekeeper, and no three-month high season that concentrates the wear — there is turnover every single week, almost all year.
I wrote this guide for anyone with a flat or a villa in short-term rental who wants to equip it properly first time. At the end there is a section for anyone managing twenty or more units, where the arithmetic changes.
The calculation that decides everything
In a short-term rental, the bed is not a decoration expense. It is a line in a review.
The sequence is always the same: an old mattress pulls the rating down, the rating pulls the position in search results, the position pulls occupancy, and occupancy is the revenue. A review saying uncomfortable bed stays visible for years and is read by every guest who comes after.
That is why the useful question is not “how much does this mattress cost”. It is “how many extra nights a year do I need to fill to pay for it”. At an average rate of 80 €, a 300 € mattress pays for itself in under four nights. The arithmetic closes quickly.
What a short-term rental actually needs
Almost everyone underestimates this, because they think about the mattress and forget the other seven categories. A T2 with one double bed and two bedrooms — three beds in total — needs:

That is more than thirty items across eight different categories. In most cases it means four or five suppliers, four or five lead times and four or five invoices — with the headboard arriving three weeks after the mattress and the flat standing idle in between.
How many sheet sets are needed
This is the most common mistake among those starting out: buying one set per bed.
With check-out at 11h and check-in at 15h, there is no time to wash and dry between guests. The rule that works is three sets per bed: one on the bed, one washed and ready in the cupboard, one in the laundry. With two, any delay in washing turns into a problem at check-in time. With one, the flat does not work.
The fabric also decides. Cotton and polyester sheets take a hot wash, dry quickly and do not need ironing — which is what matters when they are washed three times a week. If you prefer 100% cotton for the feel, allow for more drying time. The differences are in the guide on percale and sateen, and the thread count that misleads.
How long each item lasts in rotation
At home, a mattress lasts seven to ten years. In a short-term rental it depends on occupancy — and the small items die long before the mattress.

Note the pillow: it lasts three to four times less than the mattress and almost never makes it into the budget. It is the item the guest has against their face all night, and the one that most quickly ruins a night of sleep in a flat that is otherwise immaculate. If you have had the flat for three years and have never changed the pillows, you are already late.
With sheets the arithmetic is similar: 150 to 200 washes, at three washes a week, is a little over a year.
The 5-minute round
Do this once a year, between guests, with the mattress uncovered. Five checks, and you need no tools at all.
- Lie down in the middle and get up. The surface should return within seconds. If a mark stays, or if you feel a dip when running your hand across it, the core has given way. Above 2,5 cm of sinking, replace it.
- Sit on the edge, the way a guest sits to put their shoes on. If it sinks far more than the centre, the perimeter frame has gone. That is what gives the feeling of an old bed even when the rest is still fine.
- Change position with your ear close to the mattress. Creaking springs mean a fatigued structure. In a double room that is a guaranteed complaint.
- Remove the protector and look. If there is a stain, the protector failed or never existed. Stains are grounds for a bad review and, often, for the early replacement of a mattress that was still fine.
- Fold each pillow in half and let go. If it does not come back on its own, it is finished. Do this to all of them, not just one.
If three or more fail, the bed has reached the end. If only the perimeter or only the noise fails and the mattress is under four years old, request a warranty assessment before buying anything.

Which mattress for a short-term rental
The choice here is not for you. It is for the median of hundreds of people with different weights, heights and habits. That is why medium or medium-firm is almost always the right answer: it suits the majority without being hard, and it does not sink in the middle after two years.

If you are between two, tell me the average occupancy of the unit. Occupancy is what decides — the same mattress in a flat at 85% occupancy and in another at 40% does not have the same service life. You can also see what is inside each mattress.
And the protector
Of all the items on this list, the mattress protector has the best return. It costs between 29 € and 59 € and prevents the one thing that forces a good mattress out early: a stain. Choose one that is waterproof and breathable — the ones that are only waterproof make the guest perspire and earn you a different complaint.
Certifications: what to ask for
In hotels, the fire reaction certification EN 597-1 and EN 597-2 is not optional. In short-term rental, the requirement depends on the registration category and on municipal rules — confirm with your local council, especially if the registration is as a lodging establishment.
Regardless of the obligation, it is worth having. If one day there is an inspection or an incident, the difference between having the certificate and not having it is large. Our professional-use mattresses meet EN 597-1 and 597-2, and the textiles carry Oeko-Tex Standard 100.
Always ask for the certificate as a PDF, with a batch number, before closing the purchase. A supplier who guarantees compliance without handing over a document has already answered your question.
Equipping a new unit without leaving it idle
When you sign for a new flat, every week of delay is revenue that does not come back. What usually holds things up is not the mattress — it is the made-to-measure headboard, or the bed base in the wrong size, or the textile supplier who only delivers from ten units upwards.
Three things that shorten this:
- Measure before ordering. Width and length of the base, ceiling height if the room is in the loft, and the width of the door and the stairs. Mattresses of 26 or 30 cm do not fit up every staircase.
- Order everything at once. It is the only way for the items to arrive together. If you order the mattress today and the headboard in two weeks, the unit stands idle waiting for the second delivery.
- Confirm the lead time in writing. We work with production in 1 to 2 weeks and a fast track in 5 working days when there is a date that cannot move.

If you manage twenty or more units
Above a certain number of flats, the problem stops being what to choose and becomes how to manage a fleet of beds of different ages.
Renew in phases, not all at once. Replacing 20% of the beds every year costs less in cash flow, produces better results in reviews, and keeps the average age of the fleet stable. Replacing everything every five years means having, in year four, an entire fleet at the end of its life.
Record the installation date, not the purchase date. A label sewn into the handle with the month and the year settles this. Without that record, after three years nobody knows which mattress is in which flat.
Ask for fixed pricing by unit type. Since you sign units over the course of the year, it makes sense to hold a price list valid for the following orders rather than renegotiating flat by flat. We work that way, with Net 60 terms on open account.
In professional use the warranty is 3 years, and we replace within 48h if there is a manufacturing defect — without taking the unit out of service any longer than necessary.
